    Responsibilities

    The Administrative Assistant (PA Rehabilitation Council) position supports UCP Central PA’s mission to empower people of diverse abilities to live a meaningful life through innovative support and services. The primary functions of this important position include: Administrative Support Service Delivery and Regulatory Compliance for the PA Rehabilitation Council.

     

    What you’ll do:

     

    * Answer telephone calls received in the office, respond to caller requests; and if necessary, transfer calls to the appropriate staff member.

     

    * Administer incoming and outgoing mail; including opening, stamping, sorting, and distribution.

     

    * Maintain an inventory of office supplies; ensuring that inventory is replaced in an anticipatory manner.

     

    * Work directly with the Executive Director to determine priorities for the upcoming week, month, and year; maintaining a planning calendar that supports projects, initiatives, and on-going activities.

    * Recommend and implement procedures to continuously improve operating efficiencies and effectiveness. 

     

    * Maintain a comprehensive office procedural manual that includes simple “job aids” that can be referenced by other staff members (ie. bulk mailing procedures, copier procedures, etc.).

     

    * Ensure that billing for services is supported by proper documentation of service(s) provided, and make sure that service schedules are entered correctly into the billing system.

    Qualifications

    What we’re looking for:

     

    At a minimum, you’ll need -

     

    * High School Diploma or General Education Development (GED) Certificate required.  Associate’s Degree or technical certification within a related area preferred.  6 months to 2 years of previous job-related experience expected.  2 to 5 years of previous job-related experience preferred.   

     

    * Areas of Study Related to the Position: Psychology, Special Education, Elementary Education, Healthcare Management, Human Development, and Social Work.

     

    * A valid driver’s license with a clean record (no DUIs within the last five years) .

     

    * Access to regular use of a vehicle with valid insurance coverage.

     

    * Flexible to work all assigned work schedules including holidays, evenings, nights, and weekend hours as business needs dictate.

     

    *Possess a valid Social Security number.

     

    * Must be at least 18 years of age.

     

    * Ability to read and interpret documents in English. Ability to read and communicate verbally in English. Written communication skills in English may also be required.

     

    It’d be great if you also have -

     

    * Capability at the “beginner” level for use of Microsoft Office Word, Excel, and PowerPoint.
