    Responsibilities

    What you’ll do:

     

    Under limited supervision, provide executive level administrative support services in a one-on-one working relationship with the CEO in a consistent, dependable, and timely manner. Serve as the President’s "gatekeeper" and "gateway" by creating and managing win-win situations for access to the CEO's time.

    While maintaining loyalty to the responsibilities of the office of the CEO; perform highly confidential and varied administrative activities of a complex and sensitive nature on behalf of the CEO, the Board and other senior executives, which if disclosed, could have substantial detrimental effects.

    Prepare correspondence, develop complex reports, collate data, draft/review proposals, minutes, presentation materials and other documents.  Ensure that all documents are reviewed for accuracy, spelling, grammar, and graphic layout. 

    Manage the CEO’s communications systems (i.e. files, e-mail, address lists, telephone lists, telephone messages, written correspondence, agendas for and minutes of meetings attended by the CEO).

    As necessary, make decisions applying sophisticated problem-solving skills, communication, scheduling, calendar and meeting planning; consulting the CEO as needed.  Determine priorities for the upcoming week, month, and year; maintaining a planning calendar that supports projects, initiatives, strategic plan goals and on-going meetings and activities.  Maintain the executive’s calendar; schedule meetings and appointments while ensuring that the CEO has necessary office time to complete strategic priorities. Research and provide profiles on meeting attendees, and prepare meeting materials (ensuring that the CEO is always well-briefed in advance of every meeting).

    Complete special projects and assignments by establishing objectives, determining priorities, managing time, gaining the buy-in and cooperation of others, monitoring progress, problem-solving, and implementing adjustments for plans with people and departments.

    In consultation with the CEO, coordinate all tasks and activities (i.e. agendas, logistics, minutes, correspondence, reports, and the compilation of related documents) that support Board and Executive Committee communications and meetings; including the Annual Meeting. Provide support for the Nominating Committee process. Provide support for the strategic planning process, including document revision and quarterly reporting.

    Qualifications

    What we’re looking for:

     

    At a minimum, you’ll need-

     

    Bachelor’s degree in Business Administration, Communications, Education, or a related field.

    5 years of experience providing one-to-one support to a President/CEO of a similarly situated, similarly focused organization.

    Word and PowerPoint (intermediate level).

    Excel (expert level).

    Strong professional writing skills.

    Possess a valid Social Security number.

    Must be at least 18 years of age.

    Ability to read and interpret documents in English. Ability to read and communicate verbally in English. Written communication skills in English may also be required.

     

    It’d be great if you also have –

    Master’s degree in Business Administration, Communications, Education, or a related field.

    6+ years of experience providing one-to-one support to a President/CEO of a similarly situated, similarly focused organization.

    Experience with SmartSheet software.
